How to send email to have guest accept T&C manually

Please note:
As the email is being sent manually you need to make sure that you have the email template already set up beforehand.
Please see this help centre article to how create an email template.

You also need to have a valid email address for the guest you want to contact.

  1. Go into the booking you want to send the email from.
  2. Select the History & Correspondence tab.
  3. Click onto the Generate T&C link button on the right hand side.
  1. In the small pop-up select the two sheets of paper with the dog ears.
    This copies the required link that you need / want to send to the guest.
  1. Next, select the letter (template) from the drop down menu on the left hand side,

and then Generate to open a pop-up window with a preview of the email to be sent.

Please note:
In the screenshot below you see the text in the email template. Please click this link - thanks. has been added to the template to make sure that the link is being added in the same place in all manually sent T&Cs emails.

  1. Highlight the place holder text or insert the cursor at the place where you want to add the link.
  2. Click onto the chain icon.

In the pop-up past the copied link by using Crtl (Cmd) + V, then click OK.

The selected text has been converted to a link.

  1. Scroll to the bottom of the pop-up window showing the generated letter and click Send.

What the guest sees at their end

When the guest is opening the email he/she will see the text you created and the link you added.
Upon clicking the link a browser will open and display the following:

Once they have added their data in the Your Details section, have reviewed your T&Cs, ticked the box in the section Accept Terms and Conditions and then clicked the green Confirm button, the page will change and thank the guest.

A reference of the email sent to the guest and the notification that the guest has accepted the T&Cs will be place directly in the History & Correspondence of the booking.
