What does my housekeeper see when they log in?

1. Go to Admin > Housekeepers > Edit housekeepers.

2. Click Edit next to the housekeeper you want to check.

3. Click Impersonate. This will allow you to impersonate your housekeeper login to see what they will see.

4. Your housekeeper will see a simple layout for filtering and viewing the bookings they are responsible for.

Filter options

The filter options at the top allow the housekeeper to quickly check for any date range, property and include/exclude any booking extras and/or if they want to see the custom form field.

1. Date range

Select the date range, which needs to be checked.
Clicking on the small calendar icon provides quick day, month and year selection options.

A calendar for the current month opens.
As soon as a date has been chosen the calendar is closing automatically.

When you need to chance the month or the year, click onto the current month/year in the top left corner.

Selecting a different month
The calendar will automatically go back to the dates and allow you to select the date required.

Selecting a different year
When you are selecting a different year, a list of the month will appear underneath the selected year.

After selecting the month, the calendar will jump back automatically to the date selection.

Please note:
You should be changing the End date first. Otherwise you might end up with a start date that lies after the End date.
Should this happen you will see the message below. Simple click Ok and change the End date first, before then changing the Start date again.

2. Property

In order to select individual are all properties click into the property drop-down menu.

1) Click into this field to open the property selection options.
2) click this to select all properties.
3) Should you have accidentally selected properties or want to start afresh, use this option to deselect all currently selected properties.
4) You can also individually click each property listed to select it.
Clicking it a second time, deselects it.

3. Show booking extras

With this option selected (it shows in a greenish tinge) any booking extra that has been added to the booking and is supposed to be seen by the housekeeper will show in the respective booking.

Please note:
When you have set up custom form fields, the most right hand box will be showing as it is being used for the custom form fields as well.

Example:
- the booking extra filter has been deselected
- the custom form field filter has been selected

When customer form fields have been set up under Properties > Booking & Enquiry form fields, the selections of the guest will be showing in the housekeeper report as well.

Please note:
Even when the Show booking extra filter at the top of the page has been deselected, the custom form field entry will show.

Display options

There are several different ways to display the order of bookings that have been found with the filtering options.

In the display section of the bookings found when filtering there are several different option in which order the bookings can be shown.

On the left hand side there is the option to arrange the bookings going by either the Arrival or the Departure date.
After that the Sort by option on the right hand side can be used to further customise the order in which the bookings display.

1. Arrival

When ordering the filtered booking by the arrival date, this date in the booking will be determine the place in the list the booking holds.
The arrival date will appear in black.

Arrivals will be a underlined in green to show that arrival date is being used to order the bookings.

2. Departure

When ordering the filtered booking by the departure date, this date in the booking will be determine the place in the list the booking holds.

The departure date will appear in black.

Departures will be a underlined in green to show that arrival date is being used to order the bookings.

3. Downloading a PDF with the filtered bookings

This option allows for the list of properties to be downloaded as a PDF file and used offline.

A pop-up will come up.

3.1. Show

Select which of these options should be showing in the report.
They will be the headings for the different dates, showing the guest activity expected, e.g. arrival.  

Please note:
Every day, when a property is not available will be showing as Out of Service.
This means, from the day the guest arrives to the date the guest departs the property will be showing as Out of Service.

3.2. Show options

You can select which guest and booking information will be added to the exported report.

3.3. Heading background colour

In the PDF the headings will be highlighted by a colour bar. The colours for these bars can be freely chosen.
These are the default colours. They can be changed using the colour selection tool.

3.3.1. Colour selection tool

Click onto the colour square to open the colour selection tool.

a) Using the hexidecimal colour space
You can enter any hexidecimal code (numbers from 0 - 9 and letters from a - f are being used) directly in this box.
Hexadecimal codes are widely used to define colours (colour spaces) for websites.

Please note:
Make sure to have a  #  in front of the hexadecimal code.

b) Colour picker (pipette)
When  you click the colour picker a circle shows magnifying the individual pixels of anywhere on the screen. The colour picker is not limited to your browser.
Whne you have found the colour you want, click the left mouse button.

c) Currently selected colour
This circle is showing the currently selected colour.

d) Selecting the colour in the colour space

You can shift the colour space to get into the colour range you want to choose your colour from.
Simply move the slider (white circle on the colour band) left or right.

e) Using the RGB colour space
The fifth option to select a colour is to use the RGB colour (red green blue) space and enter the values for R G and B directly in the boxes.

Tip:
To reset your colour selection and restart the default colour, click Clear.

3.4. Condensed report

This option allows you to create two different housekeeper reports: a condensed and a non-condensed one.
The toggle on left hand side creates a non-condensed report, the toggle on the right hand side creates a condensed report.

3.4.1. Condensed report PDF

In the condensed report all entries are listed straight after each other.
Page breaks are not selectable.

3.4.2. Non-condensed report PDF

This version of the exported report is showing each day on a different page.

Occupation and Cleaning status / Owner bookings

1. Occupied / Not occupied

You can manually set the option to either Select, Yes or No.

Tip:
This can be used to alert housekeepers to e.g. guests that arrive early or leave late.

2. Cleaned / Not cleaned

The cleaning can be manually changed in the housekeeping report.
Depending on the status, the booking is either framed in grey (option Select), green (status cleaned) or orange (status Not cleaned)

Please note:
This option needs to be enabled for the housekeeper. Otherwise it will not be showing.
You can enabled it under Admin > Housekeeper > Edit housekeeper > Edit to the right of the housekeeper > scroll to the bottom of the page > View options.

3. Owner bookings

Owner bookings might not need require a housekeeper, or there are special arrangements with the owner in regards to owner bookings. to make owner bookings more prominent in the housekeeper report they are showing a blue ribbon over the the top right hand corner.
