There are two possible scenarios as to why a housekeeper is not being notified of being required for an owner booking:
- the owner has not added the housekeeper, but should have done so
- the SuperControl user adding the booking did not add the required housekeeper to the booking
The Correction section below will advise how to add the housekeeper to an existing booking.
The Prevention section will provide guidance as to how the housekeeper is being added to an owner booking at the time of the booking being made.
If a SuperControl user is adding an owner booking, they might accidentally not select to add the housekeeper to the booking. Or it might be done intentionally on the assumption that the housekeeper is not required.
Nevertheless every user needs to be aware how a housekeeper is being added to an owner booking.
1. Go to Bookings > Add owner bookings.
2. Select your property, dates etc. and ensure Housekeeping required is set to Yes.
3. Click Save.
If an owner adds a booking, they can select whether the housekeeper is required or not. If this option is not selected, be it by mistake or intentional, the housekeeper will not be alerted and will have no knowledge of the booking.
Please make sure, your owners and anybody else adding owner bookings is aware of how to add an owner booking with the correct housekeeper options selected.
Please note:
In order to allow your owners to add their own (owner) bookings, please make sure that the option allowing them to do so has been selected in the owner settings.
1. Within Agency > Edit owners > Edit to the right of the owner > section Owners' login details
Make sure you allow this option: It will allow the owner to add bookings using the owner login.
As well as this option in the same section: It will allow the owner to amend the booking using the owner login.
The owner needs to use this URL to log in, https://secure.supercontrol.co.uk/housekeeping.
The SuperControl user needs to go to Admin > Housekeepers > Edit housekeeper > click Edit to the right of the housekeeper > click the Impersonate button at the top.
- Click View & add bookings
- Select the year and the property, if there are several available.
- Click Go.
- In the calendar on the next page, select the arrival date.
- Enter in the details and ensure Housekeeper required has been selected.
4. Click Save.
If you allow your owner(s) to edit existing bookings, they can add the missing housekeeper themselves.
Should you not allow them to edit bookings, you will need to amend the booking yourself. Please see below for further details how to do that.
The owner needs to log into the owner portal using this URL https://secure.supercontrol.co.uk/housekeeping.
- Go to Add & View bookings
- Select year and property.
- Click Go.
- Click onto the band representing the booking.
On the following screen a summary of the booking appears.
- Click Edit on the right hand side edge.
- In the pop-up that opens, select the tab Housekeeper notes.
- Tick the box in front of Housekeeper required.
- Click Save.
The pop-up closes automatically and the booking is updated.
If a user is going to correct the booking, they can do this directly within the booking.
- Go to the booking.
- Click Edit in the top right hand corner.
- Select the Housekeeper's notes tab in the pop-up that opens.
- Change the option Housekeeper required for No to Yes.
- Click Save.
