If a guest phones up and you have used Bookings > Availability search to check, if the requested dates are available, you can use your findings to create a quote and send it to the potential guest via the enquiry form.
1. Go to Bookings > Availability search.
2. Here you can use the calendar to search available dates, number of people, number of bedrooms, country, town, etc.
3. The search results will show up which properties are available so that you can let the customer know which properties are available on the requested dates.
The availability search allows you to quote a price you want to offer to the inquiring guest. Independently from what has been set up in the price planner.
4. Tick the properties you want to add to the quote for the guest.
All properties that would be available for the search dates / duration will be showing.
Price column
a) The chosen date is an not officially an arrival date for the property. Though, you can still enter a price and add it to the quote.
b) If there is a price for the property it will be shown here.
You can override the price though, and enter a different one in the field at the end of the row.
c) If the minimum number of nights has not been met, it will let you know as well. Again, you can choose to override this and allow less days than would normally bookable.
Short breaks allowed column
This shows, if short breaks are allowed for the property. You can override this and enter a price in the field at the end of the row.
5. Click Attach to quote.
This opens an empty enquiry form for you to fill out and email to the potential guest.
Please note:
You need to first fill out the form and save it before you can send it.
Please be aware:
The system is automatically asking you, if you want to save the guest details when saving the enquiry form.
6. Select the letter template you want to use for emailing the quote to the guest.
Make sure that the Email option is selected and click Generate.
7. Amend the generated email preview as required, attach any documents and click Send (bottom left corner - you might need to scroll down)
