Setting up the owner login - all options

Allowing your owners to use the owner login can provide your owners with direct access to information about the bookings received for their property, see their statements and monies due as well as allow them to add owner bookings and add the required DAC7 information.

The owner login can be set up while creating a new owner or it can be added to an existing owner.

  1. Go to Agency > Add Owners or to edit an existing owner go to Agency > Edit Owners.
  2. Select Edit to the right of the owner.
  1. Ensure an email address is entered under General Information.

  1. Scroll to Owners Login Details section and select the options required.

Please note:
In order for your owner to be able to use the owner log, this tick box needs to be ticked.
Otherwise the owner will not be able to login.

  1. Tick the box to enable the owner to use the owner login.
  2. Click Send password reset link.
    The owner needs to use the link provided to create their own password.

Expand or collapse content 2. Can update prices

You can allow the owner to add and amended prices for their properties by ticking the option.

Within the owner login there will be the menu option Properties > Edit properties.

The next page provides a list of the owner's properties with the option to edit the prices and availability.

The price planner will be showing, allowing the owner to click into the price row and add / edit / delete prices as required.

The first month at the top of the page can be selected  by using these options:

Please note:
Should you have enabled the owner to change the prices in the owner login, you might receives bookings, which do not comply with the prices you expected for a booking.

Please note:
The special prices will be available for the owner to add even if they are not allowed to change the prices otherwise.

Please note:
If you allow your owner to change the prices for properties and / or amend the short break settings, you might receive bookings for a lower price you would normally charge and / or guests might arrive on days you would not allow as arrival days otherwise.
Care should be taken when enabling these settings.
The owner should have clear guidelines what and how to change when these options are enable in the owner login.

You can allow the owner to add and amended short breaks for their properties by ticking the option.

Within the owner login there will be the menu option Properties > Edit properties.

The next page provides a list of the owner's properties with the option to edit the prices and availability.

The price planner will be showing, allowing the owner to click into the price row and add / edit / delete prices as required, as well as amending the short break settings.

Expand or collapse content 3.1. Changing the price

Please note:
The owner will also be able to set Special prices.
This might result in bookings for dates you would not have allowed otherwise and for a price vastly different from what you what have charged under normal circumstances.

Clicking the blue price band will show the pop-up you also see when adjusting prices in the price planner.

Please note:
Should you have enabled the owner to change the prices in the owner login, you might receives bookings, which do not comply with the prices you expected for a booking.

Expand or collapse content 3.2. Changing the short breaks

Please note:
Should you have enabled the owner to change the short breaks in the owner login, you might receives bookings, which might allow guests to arrive on days, you would normally not allow as arrival dates.

Clicking the green short break band will show the pop-up you also see when adjusting prices in the price planner.

Expand or collapse content 4. Can add properties

You can allow the owner to add further properties by ticking the option.

Within the owner login there will be the menu option Properties > Add property.

On the next page all important information about the property can be added.
The owner needs to make sure to click Save at the bottom once finished entering the information.

Expand or collapse content 5. Can update properties

With this option ticket, the owner can amend the overall settings for the property.

Within the owner login there will be the menu option Properties > Edit properties.

The next page provides a list of the owner's properties with the a drop-down menu to the right.

Please note:
Depending by wish options have been chosen in the owner settings, the drop-down menu will show different options.
The screenshot below shows all available options.

The currently view settings will be indicated by a green underline in the sub-menu at the top of the page.

The property details contain the information also found under Properties > Edit > Go in SuperControl directly.
The owner is also able to change the allowed arrival and departure time.

There is a limited number of discounts the owner is able to apply themselves.
Not all discounts that can be set up in your SuperControl account can be set up by the owner.
The below screenshot shows you which discounts the owner will be able to add / edit.

With this option enabled, the owner will e able to add / edit the
- Short description
- Main description
- Location information
- Booking summary information / terms 

Please note:
If you are listing the properties on channels, which offer full content integration, e. g. Booking.com, Airbnb etc., you should be in control of the description rather than the owner.

Expand or collapse content 5.4. Photos

The owner can add further / new photos and rearrange the order of the images when this option is enabled. They can also delete photos and change the main image.

Expand or collapse content 5.5. Facilities

All amenities which have been created under Properties > Amenities > Add / edit amenities will be showing here.
This is regardless, if the amenity has been associated with the property or not.
All amenities, which have been associated with the property of the owner are ticked.

This functionality allows you to set up amenities and the owners can tick, which ones their property is offering.
When the owner selects an amenity in the owner login, it will also show as associated with their property under Properties > Amenities > Add / edit amenities.

Example
The large dog bed is associated with only one property.

The owner is now selecting in the owner login that his property is providing large dog beds.

The number of properties providing large dog beds is automatically updated.
Now this amenity is associated with two properties.

Expand or collapse content 5.6. Map

The owner can amend the set or amend the location for the property.
The can change the address, change the latitude and longitude as well as move the icon representing the property directly on the map.

Please note:

  • When the address is amended, the the latitude/longitude and the icon location on the map is only updated after the button Locate has been clicked.
  • When either the latitude/longitude is changed the icon on the map is automatically adjusted. The address is not updated.
  • When the icon on the map is changed, the latitude/longitude is changed automatically. The address is not updated.

This allows the owner to change the:
- Short break pricing model
- Additional short break price settings
- Normal start days for weekly bookings

Expand or collapse content 6. Default login page

This is the first page in the owner login the owner will see after logging in.
Select the required page from the drop-down menu.

Expand or collapse content 7. Access to UpFront Reviews

When you are using UpFront Review for the gathering guest feedback, you can allow your owner to view and reply to reviews received.
When you tick the option Access to UpFront Reviews, the options to allow the owner to reply to the review as well as to have this owner reply published with the review become available.

Expand or collapse content 8. Show agreed rates

This options provides the owner with information about the agreed weekly rates and the amount they can expect once your commission has been taken off.

Within the owner login this information can be found under Payments & Statements > Agreed rates.

On the next page is the options to select the property to be reviewed form a drop-down menu.
If the owner has only one property, the drop-down will still show, but there will be only one property selectable.

The created list shows the start and end date of all price bands that have been added to the price planner for this property.
Beside the start and end dates of the price bands, the owner will see the amount due to them for a whole week booked in each price band. This amount is calculated according to the commission settings in the owner setup.

The owner  can also add or amend their bank details on this page.

The Export link in the bottom left hand corner provides to option for the owner to export the figures shown.

Expand or collapse content 9. Show customer prices

With this option ticked you show the weekly rate for the property to the owner. This means, they will see the weekly rate as well as what they will earn.
The weekly rate will be higher than the payment the owner receives, as your commission will be deducted before the owner is paid.

Within the owner login this information can be found under Payments & Statements > Agreed rates.

On the next page is the options to select the property to be reviewed form a drop-down menu.
If the owner has only one property, the drop-down will still show, but there will be only one property selectable.

The Export link in the bottom left hand corner provides to option for the owner to export the firgures shown.

Please note:
You need to have the option Show agreed rates ticked for the properties weekly prices to show.
When only the option Show customer prices has been ticked, the owner will not be able to view the table with the weekly rate and their earnings in comparison.

Expand or collapse content 10. Can update map position

When this is ticked a menu item called Properties shows in the owner login.
Here the owner will find Maps as an option

A list of all properties of the owner will show and the option to update the map.

On the next page, the owner can change the address and use the Locate button to update the latitude and longitude as well as the placement on the icon representing the property on the map.

Please note:

  • When the address is changed the latitude and longitude as well as the icon placement is changed automatically.
  • When the latitude and/or longitude is changed, the icon placement on the map is updated automatically, but the address is not changed. This happens only when the change is saved.
  • When the placement of the icon on the map is changed, the latitude and/or longitude are updated automatically, but the address is not changed. This happens only when the change is saved.
Expand or collapse content 11. Show payment statement

When this option is ticked, a list of further options will appear.  They allow you to manage the information visible to the owner in detail.

Another option for the owner to select will appear under Payments & Statements.

The owner will see all payments due for the dates he selects at the top of the page.

The below screenshot shows what the owner would see. It is a copy of the statement you see in SuperControl for the individual owners.

Please note:
Date type should be set to Owner payment date as that is the setting used in the statement for the individual owner.

Expand or collapse content 12. Show statement of account

When this option is ticked, further options as to what exactly should be visible for the owner, will appear.

Another option for the owner to select will appear under Payments & Statements.

The table created shows the payments details depending on the dates selected.

The owner can download this report as either csv file or as PDF using these two icons.

Expand or collapse content 13. Earliest date for viewing statements

This option allows you to limit how far back payment schedules can be view.
In the owner payment tab it will not be able to select a date prior to the one selected here.

Example:
In the owner settings the 01.10.2025 has been selected.
In the owner login it is not possible to select a date prior to the 01.10.2025.

With Show all dates ticked the selection option vanished and all dates are available for the owner to select.

Expand or collapse content 14. Viewing booking details

When the option to Allow access to booking details is selected further options become available.

The owner is able to go to View & add bookings and select the property they want to review.

A calendar overview for the selected year is created.
All bookings and dates available are showing in different colours for better distinction.

When owner clicks onto a booking in the View & add bookings, a copy of the standard booking summary created by the system when a new booking is added.

Please note:
The below described options are for existing bookings.

Expand or collapse content 15.1. Allow to edit customer (guest) details (owner bookings only)

 

When an owner is adding a booking and this option is ticked, they can decide, if they want to add any guest details or not, by ticking the box in front of Enter guest details.

Expand or collapse content 15.2. Allow to edit booking details (owner bookings only)

When the owner is allowed to edit an existing Owner booking, an Edit button shows on the right hand side of the selected booking.

When clicked, a pop-up appears and the options Customer details, Booking extras and Housekeeper notes become available as shown in the screenshots below.

The following options all concerning a new booking the owner adds directly into SuperControl.

Expand or collapse content 16.1. Only Owner can add bookings is selected

When the owner can add bookings, but none of the other options have been selected, the owner can't add a value to the booking, nor can he request a housekeeper.

Expand or collapse content 16.2. Owner can add value to booking

This allows the owner to set a value for the booking. These means that the guest will be expected to pay for their stay.
If owners are allowed to set a value for an owner booking, the option Owner bookings will be marked as property closed should be not be ticked. As the booking would be otherwise show as Property closed and no auto-emails would be sent to the guest requesting e.g. payment.

Please note:
Where the owner is renting out the property themselves on occasion, this option should be enabled.

Expand or collapse content 16.3. Owner bookings will be marked as property closed

With this option ticked any booking an owner adds themselves will not have the status provisional or confirmed available, but the status will be automatically set to Property closed.

Please note:
With the status set to Property closed no scheduled emails will be sent to the guest.
If the owner is renting out the property to third parties and payment is expected, this option should not be ticked, as e.g. emails requesting payment will not be sent.

Expand or collapse content 16.4. Owner can require housekeeper

If your owners can request housekeepers for the bookings they add, this option needs to be ticked. It will provide a tick box in the booking form that can be selected to request a housekeeper.

Expand or collapse content 17. Owner can update their contact details

A new option becomes available under the Your details menu in the owner login when this option has been enabled.

When the owner amends this information the top section of the owner settings page is automatically updated.
Currently held information is pulled from the owner settings page and shows in the respective fields.

Expand or collapse content 18. Owner can add DAC7 requirements

With this option ticked you enable your owners to update the information required for DAC7. This way the owner can add information e.g. their date of birth, they do not want to provide you with directly.

Depending on the owner being reported as individual or Business the information required will be different.

Expand or collapse content 19. Owner can add housekeeping notes

This allows the owner add a note for the housekeeper to owner bookings.

The drop-down menu allows you to set, if the owner is allowed to see housekeeper notes.

Expand or collapse content 20. Owner can view source of cross-updated bookings in arrivals list

If cross-updating has been set up for a property, this option allows the owner to see where the booking was originally made.

When you select a specific year from the drop-down menu, this will be the default year showing under View & add bookings in the owner login.

Expand or collapse content 22. Copy to all owners

When you are setting up your owners and what all to have the same settings for the owner login, you can set one owner up as required and then copy the settings to all other owners.

Please note:
This button should only be used, when all owners have identical settings.
Once applied, this cannot be reversed.

The Support team is unable to reverse the changes to the individual owners.
