Booking & Enquiry Form Fields: Setting Up Custom Questions for your Guests on the booking form?

You might need to add custom questions or statements to your booking form and/or enquiry form to gather pertinent information, which can easily be set-up by following the instructions below.

 For example, you may wish to ask how beds should be made up (double/twin), for the addresses of additional guests, or to create a compulsory check box to ensure that the guest assents to a requirement of booking.

1. Go to Properties > Booking and enquiry form fields.

2. You can add Help notes in case you need to provide additional information as to why you are asking the question.

3. Select your Question type.

Text field: Creates a single line text field that allows the guest to type in their answer.

Text area: Create a larger text box that allows the guest to type in their answer (better used if they have to provide lots of information).

Tick box: Creates a simple tick box if your question is an opt-in, opt-out style question.

Drop down: Creates a drop down of options for the guest to choose. If your question is a simple Yes / No, you can create this as a drop down option. For example: Yes / No 

Text comment only: If you don't want the guest to provide an answer but you just want to include some additional information on your booking form, then this will enter your text as a comment only.

4. If you have multiple questions, you can set the order they appear in by entering a number (1 will show at the top).

5. Choose if the question should be mandatory for guests online and/or for admin bookings.

6. Decide whether the question should show on the online booking form, enquiry form, or both.  If the question only applies to certain properties, click “Limit to certain properties” (by default, it applies to all) - A pop-up will appear with just two buttons.

  • Show for ALL –exit the pop-up without making changes
  • Show for Selected Properties – tick which properties the question should apply to, click Save to apply

7.  Show to customers - Tick this box to show the custom field on the customer-facing booking or enquiry forms.  If left unticked, the field will only appear in the backend for admin bookings..

8. Show on Booking Summary - Tick this box if you wish this answer to be noted on the guests booking summary.   Agency Only - Choose if the question should appear on the owner summary and/or the guest’s booking summary.

9. Decide if the question should show in the guest login and therefore allow guests to answer this there also.

10. Allow guests to answer the question on the booking form, guest login, or both.

11. Tick Show on site to make the question visible on your website. If you have multiple websites, tick only the one where you want it to appear.

Click View booking form to give you a preview of how your questions will display:

Or you can preview the booking process as a whole if you go to Admin > website integration > preview and continue the process as if you are a guest until you get to the booking form. 

This example shows how the custom questions appear on the booking form, with the help notes below them.
