How to add / update my deposit and balance settings?

  1. Go to Properties > Edit > Go.
  2. Scroll to the section Booking settings
    Here you can select all the required options.

Please note:
These settings will only apply to this property.
This means you can have e.g.  different balance due dates or percentages taken for the deposit depending on the property requirements.

1. Balance due (days)

The number of days prior to the arrival date you want to collect the balance from the guest.

2. Deposit type

There are five different options for the way you want to calculate the amount the guest is required to pay as a deposit.

a. Percentage of total

The most used option is the percentage of the total amount due. This options allows you to set the percentage, as well as a minimum amount.
This minimum amount will be collected from the guest in any case. Even, if the calculated amount is less than this minimum amount. It is a save guard to make sure you get an amount for the deposit that is in line with your financial requirements.

b. Fixed amount per week
c. Fixed amount

This option allows you to set one amount which will be charged as deposit for all bookings, regardless their lenght  of stay or total amount payable.

The deposit is calculated as a fixed amount for each week the customer is staying. Only full weeks will be used to calculate the deposit.

Example:
9 nights
The deposit will be for the first full week only.

d. First night
e. Interim deposit

You can split the deposit into two payments.
You can also decide on different deposit payment amounts depending on the number of days until arrival.

i. If booking is made more than  xxx  days prior to arrival

You decide on the number of days prior to arrival you want to receive your first payment from the guest by adding the number of days here.
Next you can decide on the percentage you want to set for the initial amount the guest will be charges, Initial deposit of.
There is also the option to set an interim payment. For this you can set another percentage and the number of days before arrival this will be charges.

Example:
-arrival date 01.09.2025
- the deposit of 15 percent is being charged 63 days before arrival
- the interim payment for another 15 percent is being charged 49 days before arrival
The settings for this scenario would look like in the screenshot below.

ii) If booking is made less than above days

iYou can also decide on a deposit specific for booking dates (dates the guest is booking with you and you see the booking in SuperControl) closer to the arrival date as set in option i) above.

Example
- if the booking is made less than 62 days before the arrival date, the guest has to pay 35 percent

The settings in the screenshot below would be selected for this scenario.

Balance due (days): number of days before arrival

Deposit type: percentage of total, fixed amount per week, fixed amount, first night

Deposit value: this will be the value according to the type set e.g. in the screenshot it will be 30%

Arrival time: this shows in the booking

Departure time: this shows in the booking

Refundable deposit: one off or per week -  Payable with: Deposit, Balance, Use security deposit

To set up a security deposit, click the drop down next to "Payable with" and select "Use security deposit". If you use a payment processor, then select "Pre-Auth default credit card"

  1. Once the settings have been amended click Save at the bottom of the page.
3. & 4. Arrival and Departure time

Here you can set the earliest arrival time and the latest departure time you accept.
Both option can be selected for am as well as pm.
The available increments are set to 15 minutes. This can't be changed. It's a fixed setting within the system.

5. Refundable deposit.

Please note:
This is not the initial deposit the guest pays, but an additional fee for damage cover.

6. Security deposit

The security deposit is being set up to be held against the card of the customer. This means you can process the amount due directly using the card details held in the system.

7. Allow full balance to be upfront

This allows the guest to pay the full amount, deposit and balance, together in one payment.
There is only the option to allow the guest to do this, or not.
