You can add custom text fields to store details for each property, and then insert those details into email templates using a single tag.
For example, you could create one “Arrival Instructions” template for all properties, but still include each property’s unique entry code automatically.
Setting up Custom Fields takes two steps:
- Create the Custom Fields.
- Go into each property and fill in the specific information (e.g. its unique entry code).
1. Go to Properties > Custom fields.
2. Enter a field name e.g. Door entry codes and click Add new.
There are four different file types that can be used to add the required information.
- Multi line text box
This should be used for longer instructions. - Single line field
Select this when the information you want to add is short, e.g. a door entry code - Upload image
You can upload an image, e.g. if the key storage box is not openly visible. - Date
Selected dates can be used to create reminders for a property, e.g. to flag something that everybody needs to be aware of.

- Go to Properties > Edit > select Web details -> Custom Fields from the drop-down to the right of the property > Go.
- Scroll down the list until you see the section with the custom field name as heading.
- Enter the information for that property in the text field or upload the image.
- Click Save at the bottom of the page.
Please note:
You need to add the information for each property individually.
This means the steps in this section need to be repeated for all the properties which need to have this information added.
