Changing an imported iCal feed

Updated on

Situation:

You are connecting to a third party using an iCal feed.
You are switching from one third party (Connection A) to a new, different third party (Connection B).
This has been done under Integrations > Admin tools > iCal Feed > Import tab.

What is happening:

You find that the bookings originally received from Connection A are no longer showing in the grid view or can't be found when using Bookings > Search bookings.
When you use the booking number and look directly for these bookings, they have been cancelled.

Explanation:

When a booking is no longer part of the imported iCal data, the booking will be cancelled in SuperControl.
This is the only way, we can keep iCal bookings up-to-date. Any original booking that has been cancelled by the third party is no longer forwarded with the iCal feed. This is the signal for SuperControl that the original booking has been cancelled.

What to do before you change the iCal feed:

Before you are changing the iCal feed you are currently importing, please take a note of all future iCal booking you have.

  1. Go to Bookings > Search bookings.
  2. Select the current date as arrival start date and the end date should be 2-3 years in the future to make sure, you catch all future bookings.
  3. Tick the box Show property closed bookings.
  4. Otherwise the iCal bookings will be excluded from the search result.
  5. Click Search.

Please note:
If you have a larger number of properties 10+ you might want to check on a property-by-property basis. Otherwise it might take a long time for the system to return the search results.

  1. When the results are showing click onto the column heading Booking type.
The search results will be re-ordered and all iCal bookings will display together.
  1. Click the small icon to export the search result as a CSV-file. It can be opened in any spreadsheet application or text editor.
  1. Change the name to something meaningful to you and select the folder, where the file should be save to.
  2. Click Save.

Please note:
Depending on the settings in your browser, the file might be simply saved to the Downloads folder on your device.

Change the iCal feed under Integrations > Admin tools > iCal Feed < Import tab.

What to do after you change the iCal feed:

Once the iCal feed has been changed and the bookings from the new feed have been imported, you need to check for potential booking conflicts and add Admin bookings for any dates where the now cancelled iCal booking had blocked off dates previously.

  1. Go to Integrations > Admin tools > iCal Feed > Import tab.
  2. Click Manual import.
A new page will open and show all bookings in the feed and how they have been processed.
  1. Go to Bookings > Grid view.
Using the previously exported list (CSV-file) check the grid view for any missing bookings.
  2. Once you have identified any dates which need to be blocked off, add Admin bookings for these dates. You can do that directly from the grid view.
