Yes. You can upload attachments that are generic for all properties e.g. Terms and conditions, or you can upload attachments that are property specific e.g. Directions.
Our e-mail processor has a 10MB limit. If the limit is exceeded it will not send. Please make sure when uploading attachments and files that the size is within the 10MB limit.
1. Go to Emails/Letters > Global documents.
2. Enter a document name and click Choose File to upload a file from your computer.
3. Tick whether you wish to attach this to your online booking summary (this is the summary the guest receives when they first place their online booking).
4. Click Save.
1. Go to Properties > Edit > select property > Documents > Go.
2. Enter a property name eg. Arrival instructions or Directions.
3. Choose whether it should be available to send to customers and/or avilable to view within the customer login by selecting "Yes" or "No".
4. If you already have a document that you wish to upload, select type "Upload file". If you wish to create a PDF from within SuperControl select "Generate PDF", this will open up a text box underneath allowing you to enter your text.
5. If uploading a file from your computer click "Choose File" and locate on your computer then click Open.
6. Tags for auto form letters: If you use our automated emails, you can add a tag for a document so that SuperControl knows to include property specific documents for relevant bookings. For example, if you add a tag called "Directions", you can allocate that to your Directions uploaded file. Repeat this process for your other properties. This means when you create an automated email you can select the tag so that the document will attach automatically and know what property to assign it to based on the booking.
7. Tick whether this document should be attached to the online booking summary when this property is booked and Save.
Please note if you create a PDF using the Generate PDF function, if you need to edit the text in future you are unable to as you cannot edit a PDF. In this case you would need to copy the text and create a new document, make the changes and Save. Then you can delete the previous version.
1. Go to Properties > Edit > select property > Documents > Go.
Add the document as per instructions above.
2. Either select a tag form the drop down or create a new tag, if required.
- Click onto [Add / edit tags]
- Enter a name and then click Add new
- Click onto the drop down menu "Tags for auto form letters" and select the relevant tag.
3. Create an email template, if required
4. Go to Emails / Letters > Automated emails / SMS
5. Create a new letter group, if required

6. For the letter group select action > Show letter(s) > for the relevant letter click Edit
Given that all other options have been set up scroll down to the section Attachments.
Here all tags created as for auto form letters will be listed.
7. Select the required tag > scroll to the bottom of the page (or finish the setting up) and click Update letter.
1. Open the guests booking and choose the History & Correspondence tab.
2. Select your letter from the drop down, make sure that Email is selected, add a booking summary as required and click Generate.
Please note:
Should MS Word be selected already, you will see a note next to the email option informing you, that the guest has not provided a valid email address.
3. Scroll to the bottom of the pop-up window (using the scroll bar farthest right in the pop-up) and select which document to attach to the email.
Please note:
All globally uploaded files as well as the property specific ones will be showing for you to select.
Documents uploaded for other properties will not be listed.
Custom attachments
Using this option you can select a document on your computer/mobile device and attach it irrespective of it having been uploaded to SuperControll previously or not.
