Booking.com user guide

Congratulations on completing your setup — you’re now ready to start managing your Booking.com listings with confidence.  This guide will help you get the most out of your Booking.com connection, with clear steps and useful tips to get set up smoothly. Once connected, your existing bookings will import automatically, and any new ones will appear in your account.

  1. Cancellation policy:
  • Legacy connection(Rates & availability): Login into the Booking.com extranet, click the "Property" tab and select "Policies.

  • Full content connection: Go to Integrations>Channel Manager>International>Booking.com>Property Settings

In the basic details tab you can then choose from either their recommended and popular policies or from all cancellation policy options

You will get an email alert from the system when a booking is added as normal

This will include a financial breakdown of the booking; including the booking extras.

When you check the booking in SuperControl you will see the itemised line for the commission amount.

All booking changes need to be made in Booking.com and SuperControl will receive the update for the booking.  For example if a guest cancels their booking the availability will be updated in your calendars automatically.

If a guest amends dates there is a request for you to check availability & pricing;  Booking.com suggest a price but it may not be based on the latest price updates we have sent through the connection.

Default booking extra

To add a default booking extra, please go to Properties>Booking Extras; follow the guide to add a new extra and ensure the 'show on channel only' is set up to Booking.com if the prices are different from your standard default booking extras.  

Once this is saved you can then add the prices needed for the property; to see how to do this follow this guide; How do I add prices for booking extras?

Once you have set these up in SuperControl you will need to ensure that you have opted in for this to be sent to Booking.com.

If you are connected with Legacy connection (Rates and availability) please follow this guide.

If you are connected with Full Content connection please follow this guide.

Please note this will not be an itemised line for the guest in Booking.com

Please note that we don't send optional booking extras to Booking.com and these will need to be managed manually.

To enable SuperControl to manage emails you will need to whitelist the SuperControl email address in Booking.com extranet. There will be a prompt in your account to do this.

The email address you will need to use for this is found in Admin>General Details under the email address field.

Then you can set up a Booking.com specific group for auto emails according to this guide. Set up and schedule an automated email; these emails will be sent through the Booking.com messaging function & be recorded in the history & correspondence section of the booking.

Please note that any links, phone numbers, logos or email address will be taken out of the formatting for the guest as they are not in accordance with Booking.com formatting we can send.

We recommend that you set up the discounts in SuperControl in Properties>Edit>Discounts>Go and send them through to Booking.com; this just needs to be opted in for each type of connection.  For setting up the discounts in SuperControl we have a guide covering all the different options here.

Then you will need to follow the guide to enabling these for both legacy & full connections here.

Please note that Booking.com allow hosts to sign up to to different promotions in the Extranet however Booking.com will stack the discounts i.e. they wont keep to the rule of 1 discount per booking.

There are different ways that payments can work through Booking.com, and this will affect how you manage your bookings in SuperControl.

1. Virtual card (recommended)

This is the most secure and reliable option.

  • Booking.com takes the guest’s payment details and provides you with a virtual card, which you process in the booking in SuperControl.
  • The card details are only valid for a short time, usually around the guest’s arrival date, so make sure you take the payment within that window.
  • If you have a Full Content connection, this is the default setup.
  • If you have a Rates & Availability connection, you’ll need to update this setting in your Booking.com Extranet.

You’ll need to have a linked payment processor in SuperControl for this to work.

2. Real card details

In some cases, Booking.com can send you the guest’s actual card details.

  • Because an address isn’t required when guests book on Booking.com, you may need to contact the guest to request this before processing the payment.
  • This option is less secure, so we recommend using the virtual card method whenever possible.

Again for this option you will need to have a linked payment processor in SuperControl for this to work

3. Booking.com managed payments

In this setup, Booking.com handles the guest payments on your behalf.  To see a broader explanation and settings please click here.

  • When the booking comes into SuperControl, you can either have SuperControl
    • Mark it as paid straight away which may affect emails with the related triggers
    • Log it only and update the payment details later.
    • Take no action where the money shows up as due and you will need to mark it the booking as paid.

Please note that there will be a commission charge by Booking.com for this.

We don't collect or send the amounts within our system however you can set these up in the Booking.com Extranet.

We send the uplift along with the rental & the default booking extra (i.e. cleaning fee / booking fee)  as one total, this can't be separated in Booking.com

Please note that for Legacy (Rates & Availability) connnection SuperControl aren't able to connect with a non refundable rate & as a result we don't send a non-refundable uplift.

If you would like to have a different rate this can be set up within the Booking.com extranet but will need to reference the standard rate plan i.e. 10% less than standard rate plan.

Please note that for Full content connection we are able to send uplifts for both standard and non refundable rate plans.

We only connect with standard rate plan, if you set up multiple rate plans in the Booking.com extranet the booking will still be taken but not worked out with price planner settings.
