Each property should be allocated to an owner in order to keep accurate records of monies received and paid out. If a property is not allocated to an owner, you will not be able to send statements.
The DAC7 legislation also requires you to report on all money collected on behalf of owners. The report will be incomplete if you collect payments for bookings without declaring what happens to the received amounts.
This article provides an overview of how to set up and edit your owners' settings.
Go to Agency > Add owner to add a new owner or edit an existing one.
This section contains all the main information about the owner - e.g. name and contact details.
Please note:
In order to send statements and direct emails to the owner, make sure you add an email address.

You will also need to add the mobile number of the owner in the section Booking summary details further down the page. Only adding it here , in the General information section, will not allow you to communicate by SMS with the owner.
This section collects the owner information required for correctly exporting the DAC7 report.
You can give your owner access to this information and enable them to add it themselves. This will save you time collecting and inputting the required data yourself.
In order for owners to do this, the owner login needs to have been enabled for them (please see below section Owners' login details).

When a new booking is received the owner associated with the property will receive a booking summary.
Within this section it is possible to select the summary type to be either specific to the customer or to the owner.
Customer:
The owner will get the same financial information that the guest will receive. This can include e.g. booking fees or cleaning fees.
Owner:
The owner will only see the financial information related to the rental value. They would not see any booking extras, e.g. booking or cleaning fees, which have been set up to be allocated to a different owner.
If you want to communicate with the owner via SMS, please make sure that you add their mobile number in to this section.
(Adding the mobile number in the General information section at the top will not send SMS to the owner.)
In this section you can enable the owner login and define what they will be able to see. It is possible to allow owners to check their availability, add owner bookings themselves or view statements.
What the owner will be able to access and see in the owner login depends on the permissions given in this section.
Please note:
If you want to request that the owner adds their own information to be included in the DAC7 report, you need to enable the owner login.
Although you can limit their access to only the DAC7 information, if required. To do that you need to add a password and enable the option Owner can add DAC7 requirements
The owner will then only be able to access the menu option Your details. All others menu's will not be available.
Please note:
Make sure you tick the box in front of the option Owner's login enabled at the bottom or the page, right next to the Save button.
Also, after adding the owner or enabling the owner login later on, tick the box in front of Send login details by email. This only needs to be ticked when the login is set up. When settings are changed later on this option can be un-ticked again.
This is the section where you decide how you will pay your owner.
There are five sub sections. Each one applies to a different aspect of allocating the payment of the guest in regards to how the owner is being paid.
We would also advise to read this help centre article, as it contains more detailed information about the owner payment and commission settings.
In this section you select whether you pay the owner part or all of the deposit that the guest pays when booking. Or if the owner is only paid once - when the guest has paid in full.
If your account has been set up to allow interim payments, you will see this option.
Should this section be missing, then your account is not set up to process interim payments.
This section defines when your owner is being paid.
Should you not calculate your commission and pay the owner when you receive a deposit, the commission is calculated according to the settings in the Commission settings section. They are applied to the full amount due to be divided between you and the owner.
Tip:
Should a guest pay their balance early you can have the system adjust the owner payment date to this balance payment date by selecting the option Update date on customer balance payment.
If you are using the same settings for all your owners, you can select to save the current settings as the default settings.
Any new owner will have them applied automatically.
In order to update existing owners, click the button Copy to all other owners.
Please note:
Copying the settings to all other owners will wipe their current settings irretrievably.
This means, should owner settings be changed in error, they will need to be corrected manually.
