How do add my properties

Before you can start taking bookings in SuperControl, you’ll need to add your properties.

  • Real properties (like cottages, apartments, etc.) should be added individually.
  • If you need more licenses to add properties, go to Admin > Licence Summary, choose how many you need, and click Update.
  • Virtual properties are combinations of real properties (e.g. two wings of a house booked together). These also need to be added as separate entries.

Once your properties are set up, you can configure things like pricing, booking rules, and changeover days.

It may not be essential to fill in all the additional property information, for example, wed details, photo's, amenities etc.  This additional information can be used for: 

- An API connection with your website: if you web developer is using the data in SuperControl populate your website. 

- Full content channel connections: if you don't already have a listings on one of our full content channels, you can use the data to build the listing. 

 

How to Add a Property

  • Go to Properties > Add.

At the top of the page, you’ll see a menu with headings for each section; this menu stays visible as you scroll, so you can quickly jump to the part you need without losing your place.

On the right hand side of the sections menu you will see the option to enable advanced options.
When the toggle is slid to the right and turns green further options become available, which will be showing a thin green surrounding line.

Please note:
You can set up your property without entering using the advanced settings.

Any advanced settings will be discussed at the end of the description for each section.

Property details

Basic Property Information

When adding a property, start by entering its key details:

  • Property name and your reference (for internal use).
  • Enable this property to make it active for bookings.
  • Capacity – set the total of how many guests it can accommodate, then detail the maximum numbers of adults, children, and infants the guest can select.
    • Please note adding infants is not adding to the total capacity with the logic being that they sleep in their own cot
  • Bedrooms and bathrooms – enter the number available.
  • Group, country, and region – assign the property to a group and location.
  • Address, town, and postcode – required for listing and communication.
  • Optional extras include property type, star ratingfloor spacetourist license number, and EPC rating.

These details help define your property and ensure it’s displayed correctly to guests.

Booking & Payment Settings

These settings help you manage how guests book and pay for their stay:

  • Balance due – Set how many days before arrival the final payment is due. You can also send automatic reminder emails based on this.
  • Deposit type – Choose how you want to take deposits (e.g. percentage, fixed amount, first night, etc.).
  • Deposit value – Enter the amount or percentage (just the number, no symbols).
  • Minimum deposit – You can set a minimum amount here.
  • Arrival & departure times – Set when guests can arrive and when they need to leave (in 15-minute intervals).
  • Refundable deposit – Choose this if you collect a deposit and refund it after the stay.
  • Security deposit – You can hold an amount on the guest’s card without charging it, which is released after their stay; only for clients using HolidayRentPayment

Online Booking Settings

These options help you control how guests interact with your calendar and booking system; Choose whether guests can see prices and book directly, or just view availability and send an enquiry.

  • Hide booking button – Select No to allow direct bookings. If set to Yes, guests will see an Enquire Now button instead of Book Now.
  • Check availability before booking - Set to Default which is no and will allow guests to continue through the booking process.
  • Accept online bookings – Set how close to arrival you’ll accept bookings (e.g. 0 = same day, 1 = one day before).
  • Max duration for bookings – Set the longest stay allowed to help manage short-term let rules.

These settings help you stay in control of who books and when, while keeping things flexible for your guests.

Please note:
This grid is used to set the days you allow 7 night breaks to start.
You need to have at least one week day selected to save the page.

You can tick individual days or use the buttons at the top and the right of the grid.
Using these will select all days in the column or row.

Tip: If you do not allow full week breaks you will need to select a weekday which is not an arrival day and disable these days in the price planner.

Short breaks allow for greater flexibility for the guest and encourage more uptake of bed nights;  the more flexible your short break structure is the more accessible your listings will be on channels.

A common question that people ask is how to price to ensure profitability; an option could be to offer shorter stays at the same price a longer stay would be; to do this you will need to choose the option 'fixed prices for number of nights'.  A price optimisation integration would be also a strong suggestion as companies like Beyond Data will use data to suggest prices that are comparable.

There are three different options for setting up short breaks.

With this option selected, your guests can only book 7 nights or multiple of 7 night stays, e.g. 14 nights, 21 nights etc.

Each day of the week has its individual price. To get the price for a stay, all individual prices are being added up.

Expand or collapse content Fixed prices for number of nights

You are setting prices for the length of the stay with this option.

When you are selecting this with the option Use a percentage of the weekly price to calculate short breaks, you can set a weekly price and define the percentage of the weekly price for the number of nights (length of stay).

This is the recommended option to offer less nights but at same price for instance a 2 night stay at a 3 night price which can allow for greater visibility without losing on cost.

Please note:
You can have a different percentage for each length of stay as well as mid-week and weekend breaks.

Any booking containing either Friday, Saturday or both are regarded as weekend breaks.

Advanced settings

Please make sure that the advanced settings toggle on the top right hand side of your screen is set to 'on'.

There two different options for how prices should be calculated for short breaks with a pricing depending on the length of stay.

  • Pro rata after first week
  • Calculate short breaks across price bands

Here you can set the default settings you see in the short break pop-up when clicking into the short break row in the price planner.

Activating Last-Minute Short Breaks

This option lets you automatically allow short breaks a set number of days before arrival — even if you don’t normally offer them.

It’s useful for filling unsold dates or offering shorter stays at the last minute. When activated, it overrides your usual pricing rules and gives guests more flexibility to book shorter stays close to arrival.

If you are allowing these you will need to include prices for the breaks in the price planner

Once you have set your Short Break Defaults, you then need to add your Short Break bands to the price planer. When you have saved the Settings page, go to the 'Price Planner to add Pricing and Short Break Bands.

Expand or collapse content Step 6: Allocating a housekeeper

First, ensure you have added your housekeepers. How to do this, please see this help centre article.

Scroll down to the section with the heading Housekeeper and select the housekeeper from the drop-down menu click on the housekeeper you wish to associate with the property.

If you need to allocate multiple housekeepers to a property, hold down the Ctrl key and click each housekeeper name (if using a Mac select the command key whilst clicking on the housekeeper names).

Website Visibility & Property Links

  • Website selection – Tick the box next to each website where you want your property to be bookable.  If a site isn’t selected, the property won’t appear on its calendar. This is useful if you want to group certain properties on specific websites.
    This feature is important if you wish to create grouped calendars using only certain properties within your account. 
  • Property URL – If you have a dedicated webpage for the property, you can enter its link here.  When added, a More Info button will appear in the availability search results, taking guests directly to that page.

Please note that once you save the property it will redirect you to the top of the page, to edit the new property you will need to go to Properties>Edit to see the property has been created in the system.
