Managing AirBnB bookings

This guide is here to help you make the most of Airbnb, giving you clear steps and helpful tips to get your bookings running smoothly from day one. Once you connect with Airbnb, all your existing bookings will appear in the system, and new ones will be added automatically. It also covers key details and common questions, so you can feel supported and confident as you get started.

Booking alerts

You will get an email alert from the system when a booking is added as normal

This will include a financial breakdown of the booking; including the agent commission, cleaning fees & booking extras

Booking changes

All booking changes need to be made in Airbnb and SuperControl will receive the update for the booking.  For example if a guest cancels their booking the availability will be updated in your calendars.

If a guest amends dates there is a request for you to check availability & pricing;  Airbnb suggest a price but it may not be based on the latest information we have sent through the connection.

Booking extras & cleaning fees

Default booking extra

To add an Airbnb default booking extra, please go to Properties>Booking Extras; follow the guide to add a new extra and ensure the 'show on channel only is set up to Airbnb. Once this is saved you can then add the prices needed for the property; to see how to do this follow this guide; How do I add prices for booking extras?

Once you have set these up in SuperControl you will need to ensure that you have opted in for this to be sent to Airbnb; please go to Properties>Edit (Choose property)>Web details> Airbnb Data>Rates tab, tick the send default booking extras option and save the page.

Please note this will not be an itemised line for the guest in Airbnb

Cleaning fee

To add a cleaning fee as an itemised line in Airbnb please add this in Properties>Edit (Choose property)>Web details> Airbnb Data>Rates tab

Communication

To enable SuperControl to manage emails this needs to be done in Integrations > Channel Manager > International > Airbnb then click 'Manage Accounts'.

Click 'Authorise' on 'Messages (read)' and 'Messages (write)',

When you do this you will be re-directed each time to Airbnb where you will need to allow the access.

Then you can set up an AirBnB specific group for auto emails according to this guide. Set up and schedule an automated email; these emails will be sent through the Airbnb messaging function & be recorded in the history & correspondence section of the booking.

Please note that any links, phone numbers, logos or email address will be taken out of the formatting for the guest as they are not in accordance with Airbnb's formatting we can send.

We can receive adhoc messages that the guest sends through their Airbnb login and you will get a system alert as well as these being shown in the history & correspondence section of the booking.  You will, however, need to respond to these messages in Airbnb.

Promotions & discounts

Setting up a new listing on Airbnb you can take advantage to apply 20% discount to the first 3 bookings in order to see increased visibility & gain reviews for a star rating; find out how to do this here Setting up the Airbnb New Listing Promo.

Please note that using the discounts function in SuperControl will enable the booking to have these itemised in the system.

Payments

All payments are managed by Airbnb and they will pay into the bank account set up in Airbnb account for the property.  Depending on what setting is used in SuperControl the bookings can either be logged only or marked as paid when they are added into the system.

This setting is found in Integrations>Channel Manager>International>Airbnb>Settings

Log only

This means the booking will be added into SuperControl but you will manually have to mark the booking as paid when you receive the money from Airbnb. See this article on how to update the payment in a booking here.

Mark as paid

Airbnb will send a payment notification and update the booking

Security deposits

We can send the nominated amount to Airbnb; which is set up in Properties>Edit>Settings>Go>Booking settings.

This then will need to be opted into the connection with Airbnb; you can do this in Properties>Edit>Web Details>Airbnb Data>Go>Rates. Once opted in save the page.

Uplifts

We send the uplift along with the rental & the default booking extra (i.e. cleaning fee / booking fee)  as one total, this can't be separated in Airbnb.
