What to know prior to starting integrating with an OTA

If you are looking to integrate with an Online Travel Agency (OTA) via SuperControl, it requires certain information to be added into Supercontrol and this might be different from another third party integration.

We have compiled a list of required data for each third party - to ensure the connection goes as smoothly as possible. 

You will see some data described below duplicates between channels. Don't worry, you don't need to upload the same file 4 times. For example, you only need to upload the photos of the property once and we will then distribute it over all integrated channels.

Booking.com - Rates & availability only


The legacy integration with Booking.com means you will create the listing directly in Booking.com (photos, description of the property, policies etc) and send a mapping request to Supercontrol to complete the integration.  We will then start sending prices and availability to the mapped listing and bookings taken by Booking.com will come through to Supercontrol automatically.

For Supercontrol to start sending prices, it is important you check the following:

1) You have entered prices in the price planner of the property and the correct settings for short breaks.

2) In the property settings page > Availability chart options > Max duration for online booking is greater than 1.

3) That you have entered all your existing bookings to avoid a double booking.

4) If you have a default booking extra that you wish to apply to all bookings, it is set as default.


How prices are calculated:

Base price + any uplift you may wish to apply + the price of the booking extra.

*if you have a discount running, we will calculate it on the base price.


Booking.com - Full content integration


For the Content integration, you do not need to create the listing in Booking.com; all the property data needs to be entered in Supercontrol and we will create the listing for you.

The first step is to contact Booking.com to create an account and they will generate a Legal entity ID which will be automatically passed to us. More details here.

Please ensure you have entered the following data prior to starting the integration:

1) You have entered prices in the price planner of the property and the correct settings for short breaks.

2) Your contact details under Admin > General details

3) In the property settings page ensure you have entered the capacity of the property, address, floor space, star rating and arrival / departure time.

In the property settings page > Availability chart options > Max duration for online booking is greater than 1.

4) A minimum of three good quality photos, although we recommend a minimum of ten photos. Please ensure you have a photo set as Default

5) Property room configuration 

6) Under the Web details tab - please ensure you have entered the short and main description of the property along with Location information.

7) A minimum of three amenities.

First step is to go to Properties > Amenities > Add/ edit amenities > on the Map Booking.com column start mapping your amenities.

Once this has been completed (we recommend you do all channels shown in the above step at once if applicable) go to the property's Amenities tab and start allocating what amenities are relevant to the property.

8) Ensure that in the Maps tab of the property, you have the Coordinates of the property (Latitude / Longitude)

9) If you have a default booking extra that you wish to apply to all bookings, it is set as default.


How prices are calculated:

Base price + any uplift you may wish to apply + the price of the booking extra.

*if you have a discount running, we will calculate it on the base price.


Airbnb


If you will be using the Limited sync (listings have already been created in Airbnb and you only wish to send prices and availability) you don't need to add the information mentioned below.

Using full sync requires the below data entered in Supercontrol prior to the listing being published.

1) In the property's Settings page:

Property name - a minimum of 8 characters.

Ensure you have entered the capacity of the property, full address and arrival / departure time.

Availability chart options > Max duration for online booking is greater than 1.

2) You have entered prices in the price planner of the property and the correct settings for short breaks.

3) A minimum of five amenities mapped under Properties > Amenities > Add / edit amenities and allocated to the property's Amenities tab.

4) A minimum of seven photos

5) Under the Web details tab - please ensure you have entered the short and main description of the property.

7) Ensure that in the Maps tab of the property, you have the Coordinates of the property (Latitude / Longitude)

8) If you have a default booking extra that you wish to apply to all bookings, it is set as default.


Once you have completed the required information but not started any listing to be connected you can go to the Airbnb integration page, click on the Settings button and in this page you can set what should apply by default to any new listing. 

Example:

Under the Default values - if you have most or all properties that would be categorised as a 'house' and the cancellation policy will be the same for all properties - you can select these in here. Once you click to Start building a listing - we will automatically pre-populate the relevant fields with the information so you don't need to manually set it for each individual listing.


How prices are calculated:

Base price + the price of the booking extra = to this total we then apply any uplift you may have set.

*if you have a discount running, we will calculate it on the base price.


TripAdvisor


We can currently send the following data to TripAdvisor and should be entered in Supercontrol prior to the integration being completed.

For rates and availability only:

1) You have entered prices in the price planner of the property and the correct settings for short breaks.


For more content being sent:

1) In the property Settings page - property name, capacity, address, room configuration and Arrival/ departure time.

2) Ensure that in the Maps tab of the property, you have the Coordinates of the property (Latitude / Longitude)

3) A minimum of five photos

4) Under the Web details tab - please ensure you have entered the short and main description of the property.


HomeAway (5 or more properties)


For HomeAway you will need to fill in a few tabs with information - some of which is very specific to this channel and will need to be manually entered when you start working on the integration. 

To make it easier for you please ensure you have the following information already entered:


1) Ensure you have entered your Terms & conditions; all three boxes need to be filled in (Terms and Conditions, Cancellation Policy, Cancellation Policy (plain text))

2) Have a minimum of six photos, recommended resolution is 1920 x 1080 pixels and maximum photo size 20 MB.

3) In the property Settings page - capacity, address, room configuration and Arrival/ departure time. 

NB. Property name must be at least 20 characters - this can be entered once you start filling in the missing data

4) Under the Web details tab - please ensure you have entered the short and main description of the property.

5) Ensure that in the Maps tab of the property, you have the Coordinates of the property (Latitude / Longitude)

6) If you are VAT registered, please enter the VAT rate under the Financial tab of the property.

7) If you have a default booking extra that you wish to apply to all bookings, it is set as default.


** If you have properties abroad (France, Portugal as an example) that require a Tourist licence number, you must enter this in the property settings page

Summary


Although most channel integrations require the same data, there will be some specific to just one. 

NB. Once you've uploaded the data once for the property, you don't to repeat this step for any other channel.


In summary, here are the settings and data required by all OTAs:

1) Prices and availability

2) As much information on the property as possible:

a) Address

b) Longitude/ latitude

c) Property name

d) Room configuration

e) Photos (good quality photos and at least 10-15 we recommend)

f) Property description - a short and a main description

g) Amenities - the more, the better!

h) Contact details
